This Privacy Policy explains how L R Technology, a sole proprietorship owned by Debasish Panigrahi (GSTIN 21BYYPP0116P1ZY), having its principal place of business at Plot No. 361/461, Khata No. 73, Dubagadi, Near Jarka Market, Dubagadia, Dharmashala, District Jajpur, Odisha – 755008, India ("L R Technology", "we", "us", or "our"), collects, uses, stores, and protects information when you use the TrueHR mobile application and web portal (together, the "Service").

By creating an account or using the Service, you acknowledge the practices described here.

1. Our role

TrueHR is a human-resource management service made available to employees, contractors, and staff of organizations ("Employers") that subscribe to it. Your Employer decides what information is collected about you and why, and instructs us to process it on their behalf. For those purposes your Employer is responsible for that information and we act as a service provider processing it under the Employer's instructions.

2. Information we collect

Account and profile: name, employee code, official and personal email, phone number, date of birth, gender, designation, department, grade, date of joining, managers, work location, and addresses.

Financial and identity: bank account number, IFSC and bank details, PAN, and Aadhaar number, where provided for onboarding or payroll. This category is sensitive and is stored in encrypted form.

Location: your device location when you mark attendance or apply for on-duty; continuous location during an active tour (including in the background/with the screen locked) to compute route and distance; and the location attached to Geo-Tag photos.

Camera and photos: photos captured for attendance, on-duty, geo-tagging, or supporting documents. Geo-tagged photos may have your name, employee code, date/time, address, and coordinates overlaid.

HR activity: attendance and working hours, leave and comp-off, tasks, support tickets, tours and geo-tags, payroll/salary-slip data, and resignation requests.

Technical: authentication tokens, app and error logs, and basic device information needed to operate and secure the Service.

3. How we use information

We use information to create and manage your account and authenticate you; record and display attendance, leave, comp-off, and tasks; calculate tours and geo-tagged records; generate salary slips; process onboarding, resignation, and support requests; enable your managers/HR to perform their duties; maintain security and audit records; and operate, troubleshoot, and improve the Service. We do not sell your personal information and do not use it for advertising.

4. Location and background tracking (your control)

Location and background-location access are used only for attendance, on-duty, geo-tag, and tour features. You control these through your device's permission settings and can withdraw them at any time. Tour tracking records only while a tour is active and stops when you end the tour. Disabling location will stop location-dependent features from working correctly.

5. How we share information

With your Employer — your HR administrators and, where applicable, your managers can view records relevant to their role.

With service providers — hosting and infrastructure providers who process data on our behalf under confidentiality obligations.

For legal reasons — where required to comply with law, respond to lawful requests, or protect rights, safety, and security.

On business transfer — information may be transferred as part of a merger, acquisition, or reorganization.

6. Data security

We take reasonable technical and organizational measures, including encryption of sensitive fields (bank account, PAN, Aadhaar) at rest, encrypted transport (HTTPS/TLS), role-based access controls, expiring authentication tokens, and audit logging of key actions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Data retention

We retain information while your account is active and as needed to provide the Service to your Employer, and thereafter as required for legitimate business, legal, tax, or record-keeping purposes. Your Employer may instruct us to retain, export, or delete records associated with your account.

8. Your choices

You can view much of your information within the app; for changes to official records, contact your HR administrator. You can grant or revoke location, background-location, camera, and notification permissions in device settings. Accounts are provisioned and deactivated by your Employer's administrators.

9. Children

The Service is intended for working professionals and is not directed to individuals under 18. We do not knowingly collect information from children.

10. Changes to this policy

We may update this policy from time to time. We will revise the "Last updated" date above and, where appropriate, provide notice through the Service. Continued use after changes take effect constitutes acknowledgement of the updated policy.
